AI PHONE RECEPTION FOR LANDSCAPERS

Every yard job starts on site.

CTnode. takes the scope, the access notes and the callback number, then books the site visit straight into your diary with travel time held around it.

  • Answers during and after business hours
  • Follows your approved booking rules
  • Escalates calls that need judgement

The caller wants a price. The receptionist will not invent one, so it captures the scope and books the site visit that produces a real quote.

  1. CTnode.

Thanks for calling Example Landscaping. Dave the AI here, and this call is recorded. What can I help with?

  2. Caller

What would it cost to redo the front yard at 300 Queen Street, Brisbane?

  3. guardrailBlocked topic: pricing without a site inspection
  4. CTnode.

I can't put a price on that without someone seeing it — it depends on access, slope and what's coming out. I can book a site visit instead.

  5. Caller

    Thursday afternoon suits.

  6. check_availabilityThursday: 1:30 pm free · travel buffer held
  7. CTnode.

Thursday 1:30 pm for a quote visit. Anything we should know about access?

  8. Caller

Gate is padlocked, call 0491 570 006 when you arrive.

THE SAME RULES

A different call. The same control over your calendar.

The product does not change by trade. Your configured services, hours, fixed travel/setup allowance and escalation contacts decide what happens next.

Your gap

Time protected between jobs

Choose the fixed travel or setup allowance that fits your work. It leaves space between appointments; it does not calculate driving routes or journey times.

Your notice

Minimum notice before a slot

Choose how much notice a caller must give. Anything tighter than that goes to the owner instead of silently entering the diary.

1 / 50

Unit numbers stay unit numbers

"Unit 1, 50 Adelaide Street" is never heard or written back as "150". Ambiguous forms are read back to the caller, and the booking note spells the qualifier out in full.

Your hours

Your hours, not generic ones

The receptionist follows the working hours approved for your business. Out-of-hours requests follow the fallback you chose during setup.

In parallel

Separate sessions for callers

Calls can be handled in independent sessions, so one conversation does not have to finish before another can begin.

Your limit

Daily booking capacity

Set a business-wide limit for normal bookings when calendar space alone does not reflect what the team can complete in one day.

Your horizon

How far ahead it will commit

Choose how far ahead the receptionist may book, so callers cannot lock in work beyond the period your business has approved.

QUESTIONS

What business owners usually ask.

Will my customers know it's a computer?+

Yes, and deliberately so. Your receptionist introduces itself by name and says it is AI in the opening line — ours is called Dave — and gives the configured recording notice. Callers who want a human are escalated to you.

How does it leave time between jobs?+

We agree a fixed travel or setup gap with you and apply it around busy jobs. That gap is not a driving-time calculation. Distant, uncertain or exceptional routes can be sent to you for review.

What happens if it doesn't know something?+

It will not guess on anything that matters. It is explicitly blocked from giving legal, health, licensing, disposal, pricing, timeline or safety advice. In those cases it takes a message or escalates to you.

What if two people ring at once?+

Both are answered. Each caller gets their own session rather than a queue.

What happens when a call is urgent?+

It follows the trade-emergency rules agreed for your business and alerts the owner numbers you configure. If someone describes an immediate threat to life or safety, it directs them to emergency services rather than treating it as a normal trade booking.

Can it book every type of job?+

It books the services and appointment types approved during onboarding. Quote-first, safety-sensitive or unusual work is routed to an inspection, a callback or owner review instead.

Are calls recorded?+

Yes — audio and a transcript. Audio is kept up to 30 days and transcripts around 90 days, and callers who object are handled accordingly. The detail is on the privacy page.

Where do bookings end up?+

In your Google Calendar and in your owner dashboard. The platform database is the record of truth, so nothing depends on the calendar staying reachable.

Will it work for more than one owner?+

Yes. Multiple owner notification numbers can be configured, and the escalation order is agreed during onboarding.

Do I have to change how I work?+

No. We set it up against your existing hours, services and escalation contacts before it takes a single call.

How long does setup take?+

It depends on your business rules and provider access. We configure the system with you, test the main scenarios, and only move to live calls once the agreed checks pass.
